Maintenance Support Services

Maintenance Department Review (MDR)

 

The operation of the maintenance department will be reviewed. Essential components, including inventory control, equipment maintenance, preventative maintenance of vehicles, development of an operation manual, and emergency plan integration, will be evaluated.

 

The effective use of property funds and the establishment of a safety program will be reviewed. The assessment will also note whether a comprehensive maintenance calendar is in place and whether it is part of the property's operation manual.

 

The condition of the vehicles and equipment will be evaluated, and a preventative maintenance program will be examined. The assessment results will be provided to the Board of Directors within two weeks.    The Board can then use the information to make the department more effective and in accord with sound business practices.

 

Supervisors will recommend a schedule of annual safety inspections and safety tailgate sessions.  Your maintenance calendar will include annual inspections and maintenance of essential equipment. It will also note annual maintenance on HVAC, roofs, gutters, heat tape, backup generators, pool filters and equipment, water heaters, pumps, sump pumps, solar panels, irrigation filters, irrigation heads, sewer line inspections, termite inspections, and any other property-specific components.

 

Annual safety checks should include trip hazards, traffic sign visibility, road sign markings, potential slip-and-fall situations, and flooring at showers, pool decks, and sidewalks for ice and snow. Signs should be developed in the event of inclement weather.  Safety cones should be on hand for directing traffic or at the location of a safety issue. 

 

Interior sandwich board signs and cones should be on hand for internal issues that arise from maintenance.  Your manager will provide much of the information regarding this assessment. During a site visit, we will have an opportunity to verify whether the information provided is accurate or needs to be adjusted.

 

Maintenance and Contract Support Packet (MCSP)

 

We will provide template inspection documents and a comprehensive safety audit of the Association property. A proposed procedure for responding to unit leaks is included.

 

The Maintenance and Contract Support Packet includes an Inspection (exterior), Inspection (interior), Maintenance Calendar (schedule), and contract profile for the property. Your manager will amend the documents provided in the MDSP packet to be specific to your property. For an additional charge, you can choose StrongerHOA to undertake the editing.

 

The Board or Compliance Committee can mark up the original draft, which will be reviewed by StrongerHOA one final time. Additional editions will incur supplementary charges, which must be negotiated before further editing.

 

As part of this packet, we will complete an Access & Security Profile. The profile will evaluate your facility's security access systems and ability to prevent unauthorized persons from entering the building and offices of the property. Computer backup programs, password protection, and use within the office will be reviewed. Window and door conditions will be documented if a process of locking and unlocking is in place. Security camera locations and the recording length for follow-up will be evaluated.

A summary report on all major components for the property will be established using the from provided in this packet.

This packet will also include guidelines on contract management, providing the manager with a sound approach to any project undertaken on the property.
